Move-in & Move-out

Below are the dates and general move-in times.

Exhibitors will be emailed specific move-in times two weeks before the show date.

Please note:

• Exhibitors are permitted to move-in during or after their specific move-in time.
• Hard-toed shoes are to be worn during move-in and move-out.
• Exhibitors may continue to set-up and organize their booths after their scheduled move-in time.

All Exhibitors must complete the Lange Move-in Questionnaire. It allows Lange to understand the move-in requirements for each booth.

Also, it gives Lange a rough estimate of how much freight each Exhibitor has coming on to the show floor.

Saturday, April 12, 2025, 8:00 a.m. – 5:00 p.m.
Sunday, April 13, 2025, 8:00 a.m. – 2:00 p.m.

Move-in Floor Plan
The move-in floor plan will be posted two weeks prior to Show move-in.

• ALL Exhibitors must complete the MANDATORY Move-in Questionnaire. The questionnaire provides Lange with a general idea of the move-in requirements for GSF West.
• Please complete it BEFORE MARCH 25, 2025.
• Then send the completed forms to sales@langeshow.com

• The move-in schedule will be posted two weeks prior to show move-in.
• Booth Set-up: Exhibitors are permitted to continue setting up their booth past the specified move-in time. You may stay until the building closes.
• You are not allowed to move-in before your specified move-in time.
• The move-in schedule will be emailed to each Exhibitor two weeks prior to show move-in.
• Material Handling includes all equipment and labour necessary to transport your exhibit from the ramp to your booth. It is included in booth cost. This does NOT include blanket wrapping, unskidding, or spotting you booth material. Also, it does NOT include material handling for cold storage goods. Materials requiring a forklift with a load of greater than 4000 lbs. may be subject to a surcharge by Lange, the official move-in and transportation company for GSF West.

Exhibitors will be sent a general move-in time and code. Please use Voyage Control to select a specific time. Codes are date and time specific; they cannot be used for different dates and times. Tuesday, April 15, 2025, 5:00 p.m. – 11:00 p.m.
Wednesday, April 16, 2025, 8:00 a.m. – 12:00 p.m.

Move-out Procedure:

1. Grocery and Specialty Food West operates on a Last In, First Out policy (LIFO).
2.  AFTER the aisle carpet has been removed crates can be retrieved from storage or delivered to your booth.
3. Once your booth is packed, please visit the Lange desk. Lange will give you a time slot to use the docks.

Booth Décor:Exhibitors must adhere to the Guidelines for Display Rules and Regulations.

All Exhibitors must submit an Exhibit Design form with appropriate photos or schematics of the booth’s design. It must be submitted for approval. Please direct questions to Cindy Suh (csuh@cfig.ca).

Move-in: Exhibitors may ask to change move-in to a LATER date and time BUT NOT to an earlier date and time.

Move-out: Grocery and Specialty Food West operates on a Last In, First Out (LIFO) policy.

Safety Vests: High-visibility vests are mandatory. They must be worn by all Exhibitors, contractors, and booth builders during move-in and move-out. This is for your safety as forklifts and other machinery are moving throughout the floor. To save money, please bring your own PPE. Vests are no longer offered by the Vancouver Convention Centre (VCC). They can be purchased through the vending machines at the VCC.

Secure Items: The Canadian Federation of Independent Grocers and any of the suppliers for GSF West are not responsible for any lost, misplaced, or stolen product and materials. When you walk away from your booth or at the end of each day, please ensure that your materials are safely stored. During move-out wrap with plastic wrap and clearly label items you would like to ship.
